Frequently Asked Questions

This section provides answers to frequently asked questions about the platform and its features and will be updated over time to ensure users have the information they need.

My Organisations & Data

You can easily switch between different organisations you work for using the organisation switcher in the top navigation bar. This allows you to manage your roles and shifts for each employer independently.
No, your data is strictly isolated to the organisation you are currently within. Your roles, financials, and shifts are specific to each employer, ensuring privacy and clear separation of data across all organisations you are associated with.
If you were previously employed on the previous version of iZero, your historic payslips and invoices are still available. You can find them in any organisation area under Invoices, Payslips or Expenses still. For holiday pay this will be available under a new menu item in Financials called 'Legacy Holiday Pay'.

Workforce & Shifts

How do I manage my shifts?

If you are a full-time employee, you can view your schedule via the dashboard and click through upcoming weeks in a timetable. For temporary workers (zero-hour), you can view upcoming shifts, request shift swaps, and set your availability to ensure you're only scheduled when you're free.
The attendance system tracks your working hours in real-time. You can clock in and out using our mobile-friendly interface, which automatically records your attendance periods for payroll processing and compliance.

Payroll & Compliance

When and how do I get paid?

Your pay schedule (weekly, monthly, etc.) is dictated by your employer. If your organisation uses iZero's payroll and payment integration, you can track payments in the financials tab. If they do not, payment tracking is a manual process managed by your employer. Your invoices and payslips will state if they can be tracked via the platform.
Expenses can be uploaded if your organisation has enabled them for your job or schedule. To upload an expense, navigate to your shifts, find the specific shift you want to attach an expense to, click 'Expenses', and then click 'Add New'.
Leave requests are for PAYE workers and are governed by the LeaveTemplate settings of your employer. Full-time staff typically operate on a leave year, while zero-hour workers usually have leave accrued or rolled up, as dictated by the organisation's policy.
To remain compliant, you may need to provide proof of identity, right to work, and relevant training certificates or licences. You can upload these securely in your profile under the 'Compliance' or 'Requirements' section.

Workforce & Operations

How do I create and assign shifts?

Our intuitive scheduling and job building tool allows you to create shifts for all manner of events and services from one off shifts to thousands of shifts. You can view the calendar overview of all your zero hour and full time team in one place too.
The real-time attendance dashboard gives you immediate visibility into who is clocked in, who is running late, and any missed shifts. This helps you maintain operational efficiency and respond quickly to staffing gaps. You can approve and decline overtime or reductions from the dashboard and in the attendances page.
For full time staff managers receive instant notifications for leave requests so they can respond quickly. Zero-hour staff will either receive rolled up leave on top of their shift pay or accrue leave for redemption depending on your employers policy.
Automation rules are available for your payroll processes for finalising pay runs, starting pay runs, sending payments and more.

Finance & Compliance

How does the payroll integration work?

iZero integrates with the popular payroll software "Staffology," enabling iZero to talk to your Staffology account and sync your payroll data. This means employees can view the correct pay and track status from their financials. Alternatively, you can export the payroll data to your own payroll software; however, this option won't allow staff to view final pay figures and track payment status. We plan to add more payroll software integrations very soon.
Yes, staff can upload receipts via the mobile interface. Managers can review, approve, or reject these expenses, which are then automatically queued for the next payroll cycle. You can set expense limits so staff cannot request more than the allowed amount.
Our compliance engine tracks 'Right to Work' documents, you are notified the moment a document is uploaded for review. You can also set up custom requirements for job roles ensuring staff meet the required qualifications.
iZero provides detailed reports on labor costs, attendance patterns, and compliance status. These insights help you make data-driven decisions to optimize your workforce and reduce operational overhead.
